Many people are surprised to learn just how collaborative modern orthodontics is behind the scenes. While your orthodontist leads every diagnosis, treatment plan, and clinical decision, there is also a highly trained support team working alongside them to help appointments run efficiently, comfortably, and smoothly.

Orthodontics is unique within dentistry because treatment is delivered gradually over many months, sometimes years, through a series of regular adjustment appointments. Because of this, specialist orthodontic practices are designed around carefully coordinated workflows that allow the orthodontist to focus their time where it matters most: analysing tooth movement, assessing bite changes, planning mechanics, monitoring progress, and communicating any changes directly with patients and parents.

The Role of Treatment Coordinators in Orthodontics

At Manly Orthodontics, our treatment coordinators, Katy and Angela, play an essential role in creating a welcoming, supportive, and seamless experience for every patient. From the moment a patient first contacts the practice, they help guide them through each step of their orthodontic journey by acting as the bridge between the clinical and administrative aspects of orthodontic care.

After the initial consultation and records appointment, they collaborate with Dr. Anél to explain her recommended treatment plans in a clear and patient-friendly way to ensure they understand their treatment options, timelines, financial investment and payment options. Their role is to ensure patients and families feel informed, comfortable, and confident in their decisions.

Beyond organisation and scheduling, treatment coordinators are focused on patient care and connection. Their warm communication, attention to detail, and commitment to exceptional service help patients feel genuinely supported throughout treatment. In a modern orthodontic practice, they are an important part of delivering not only beautiful smiles, but also a positive and memorable patient experience.

The Role of Oral Health Therapists in Orthodontics

In many orthodontic practices, oral health therapists (OHT) work closely with the orthodontist to assist with a range of clinical procedures and patient care responsibilities. Due to their specialised training and registration with the Australian Dental Board, they can work independently and unsupervised, even when the orthodontist is not there. An OHT can perform almost all of the clinical duties that the orthodontist can, with the exception of treatment planning and bracket placement.  For this reason, providing a detailed orthodontic treatment plan is very important, so that the OHT always has a plan to follow.

Apart from assisting the orthodontist with clinical procedures and helping to monitor treatment progress, an OHT also plays a valuable role in supporting both the clinical care and long-term oral health of patients undergoing orthodontic treatment. With specialised training in preventive dentistry and oral health education, oral health therapists also help patients maintain healthy teeth and gums while wearing  braces or aligners.

Their combination of clinical knowledge, preventive focus, and patient-centred care helps patients feel supported, informed, and confident throughout treatment while contributing to healthy, beautiful smiles that last long after orthodontic care is complete.

The Role of Dental Assistants in Orthodontics

Within orthodontic practices, trained dental assistants commonly assist with clinical preparation tasks under the supervision and direction of the orthodontist.

This may include taking photos, digital scans or previously alginate impressions, giving instructions and advise to patients, helping remove elastic o-rings prior to the orthodontist reviewing the patient, and placing the o’ring back on as instructed by the orthodontists.

The most important part of ensuring that a patient achieves the orthodontic outcome they desire, is ensuring that a detailed treatment plan is formulated and in turn executed at every appointment. By having experienced assistants help prepare patients for their review appointments, the orthodontist can spend more focused time:

  • documenting detailed clinical notes from start to finish
  • assessing treatment progress at every appointment
  • evaluating tooth movement and bite changes
  • discussing concerns or goals with patients or parents
  • making clinical decisions
  • adjusting treatment mechanics if needed

This collaborative model has been part of orthodontic practice for many years and is widely used throughout Australia and internationally.

How These Roles Fits Within Australian Regulations

Australia’s dental system is designed around team-based care.

The Dental Board of Australia’s Scope of Practice Guidelines recognise that dental practitioners work alongside appropriately trained team members and may delegate suitable tasks under supervision. (dentalboard.gov.au)

Importantly, the registered dental practitioner remains responsible for ensuring:

  • the task is appropriate
  • the staff member is properly trained
  • appropriate supervision is provided
  • patient safety is maintained at all times

The guidelines also state that practitioners must not direct staff to perform duties beyond their education, training, or competence. (dentalboard.gov.au) A good example of this is taking x-rays. Dental Assistants must have their Certificate IV in Dental Assisting to enable them to take x-rays unassisted.

Training and Experience Matter

Our dental assistants are an important part of our practice and patient experience.

Many of our team members hold formal dental assisting qualifications, including Certificate III and Certificate IV training, alongside orthodontic-specific experience gained working directly with specialist orthodontic treatment every day and attending courses and conferences.

While dental assistants support the clinical workflow, all diagnosis, treatment planning, clinical decision-making, and treatment oversight remain the responsibility of Dr. Anél as our registered specialist orthodontist.
